Creating and assigning tasks to users is a fundamental aspect of efficient task management within Invono One. Users can easily create tasks and assign them to specific individuals or teams, ensuring clear accountability and responsibility. Tasks can be accompanied by due dates, priorities, and detailed descriptions to provide clarity and context.

Invono One facilitates seamless collaboration by allowing task-related discussions and updates attached to meeting agenda topics and documents, keeping everyone involved informed. Task progress can be tracked, and reminders can be set to ensure timely completion.

Invono One's streamlined task management process optimises productivity, promotes effective teamwork, and helps organisations stay organised and focused on achieving their goals.

Core Features

Invono One offers the following core features:

  • Create tasks with essential details such as task IDs, titles, due dates, default status ( To Do ), and relevant tags.
  • Assign tasks to team members, ensuring clear ownership and accountability.
  • Efficient task management, allowing tracking and progression through different stages, including 'To Do', 'In Progress', 'On Hold', and 'Done'.
  • Automated notifications sent to team members to ensure prompt awareness of overdue tasks, enabling timely action and follow-up.

Tasks can be generated not only within the 'Meetings' module but also within the 'Documents' module, offering the advantage of being visible in the dedicated 'Task' section. However, the visibility of tasks in this section is subject to the permissions granted to the individual viewing it. If the user possesses the necessary privileges, they can access and monitor tasks originating from both meetings and documents. This integrated approach ensures that tasks can be effectively managed, tracked, and coordinated across various modules within Invono One, enabling streamlined task management and enhancing overall productivity.

Attachments

Upload and/or link to documents already uploaded in 'Documents' to add more context to the task.

Comments

Attach comments to tasks, facilitating discussions and providing supplementary information related to the task. This promotes effective collaboration, enhances communication, and ensures that all relevant information and discussions are consolidated within the context of the task.


The Root Directory in Tasks

The structure of Tasks shares a common framework with Documents and Meetings in order to provide a consistent user experience across Invono One. This unified structure not only ensures a seamless user interface but also facilitates flexibility and technical integration, resulting in an enhanced and secure product.

By sharing common elements, Invono One delivers a cohesive platform that simplifies navigation and promotes familiarity for users across different modules. Moreover, the shared technical spaces further contribute to the robustness and efficiency of the system, reinforcing data security and ensuring a cohesive user experience throughout the platform.

The term 'Root Directory' refers to the representation of tasks within the 'Task' section. When accessing this section, all tasks are immediately listed. By default, they are ordered based on the 'Created' date.

Categories

In addition to the 'Root' structure mentioned above, users can create and manage tasks assigned to categories, providing an additional layer of familiar organisational structure.

The 'Root' structure and categories work seamlessly together, offering flexibility in sorting tasks using the 'Quick Search & Sort' as detailed below.

Should both methods prove insufficient, users can resort to the 'Advanced Filter' feature, which provides further assistance in narrowing down search results and refining task selection.

Permissions

'Permissions' encompass two distinct aspects as follows:

  • At the category level, users can grant access to specific teams or individuals, thereby defining who can access the entire contents of a particular category.
  • At the source level i.e. defined by shared privileges from 'Meetings' and/or 'Document' based on the privileges set at 'Folder' and/or 'Group' level. This level of access ensures that only those members and/or teams that have the relevant permissions gain access to those tasks.

By offering this granular control over permissions, Invono One ensures that access to categories and tasks can be precisely managed, allowing organisations to maintain data security and confidentiality in accordance with their specific requirements.

Advanced Search

Enhanced search and retrieval capabilities save time and boost productivity. Find relevant tasks quickly and effortlessly by:

  • Created date
  • Due date
  • Within a date range
  • Status
  • Sort order
  • Assigned to

Quick Search & Sort

Invono One provides the functionality to sort tasks by 'Category' and 'Tag', offering real-time suggestions for similar named categories or tags as you type. This feature enhances the user experience by facilitating quick and accurate sorting based on categories or tags associated with the tasks.
