About the People Directory Module

The fundamental purpose of the 'People Directory' is to provide a comprehensive listing of all individuals associated with your 'Company Account'. This encompasses two primary categories: 'Members' and/or 'Shareholders' who hold active roles within the company, as well as 'Company Contacts' who, while not possessing administrative or contributor privileges to the 'Company Account', are still relevant contacts to your organisation.

The 'People Directory' empowers efficient administration and collaboration within the platform, while also ensuring seamless handling of important document-related procedures.

The 'People Directory' plays a crucial role in various key areas of the Invono One platform, as outlined below:

  • Private Address Book
    • Managing Contacts.
    • Sharing Contacts.
  • Meetings
    • Inviting attendees.
    • Requesting protocol feedback prior to acceptance, if required.
    • Requesting protocol acceptance with Invono One's 'Electronic signature' module.
    • Group access.
  • Documents
    • Approving documents with Invono One's 'Electronic signature' module.
    • Folder access.
    • Document Privileges.
  • Share Issuance
    • Inviting shareholders and potential investors to participate in a share issuance round.
    • Manage invitations.

User-friendly and highly adaptable experience

The 'People Directory' offers a user-friendly and highly adaptable experience, ensuring ease of use for individuals while concealing the intricate complexity of the underlying data operations.

It is crucial to understand that Invono One handles different types of data. This includes registered accounts, where data control rests with the respective registered individuals, shareholder records, which are managed either by the same individuals or by company administrators based on the shareholder's registered status, and less rigidly controlled data such as personal or company contacts.

Regardless of the data entry point, meticulous handling and presentation of all data is essential to ensure that it aligns with specific use cases and requirements where used in the Invono One platform.

At its core, the 'People Directory' adheres to the belief that consolidating data into a single source reduces the likelihood of errors and enhances the accuracy and reliability of the information. By centralising data, the 'People Directory' aims to ensure the availability of dependable and trustworthy data throughout the system.

Understanding Tabs, Filters, and Data Sets

The 'People Directory' modal consists of three tabs: 'Members & Shareholders', 'Company Contacts', and 'My Personal Contacts'. The display of these tabs and the presentation of data within them vary depending on the specific use case. However, it is important to note that the differences can seem subtle as follows:

The default setup whereby all tabs and data are displayed:

  • Holding meetings that are not specific to one group or another.
  • Personal contact that are specific only to you.
  • Requesting electronic signature that is not specific to one group or another.

All tabs with a pre-selected 'Quick Filter' set to active:

  • Holding an AGM meeting that is specific to the 'Shareholder' group, and therefore that group is pre-selected for user convenience. However, it's still possible to filter by any other means.

Data-set specific:

  • In the issuance of new shares in the 'Emissions' module whereby there are two functions as follows:
    • Invite 'Shareholders'
    • Invite 'Potential Investors'

In both scenarios, the data sets within the 'People Directory' are predetermined. When inviting 'Shareholders', for instance, only the shareholders of the company are displayed, resulting in a single visible tab labeled 'Shareholders'. Conversely, when selecting to invite potential investors, three tabs are presented: 'Members', 'Company Contacts', and 'Personal Contacts'.

It is worth noting that the default 'Shareholder & Members' tab is now specifically filtered and named according to the use case, eliminating the need for additional steps to sort or filter the data sets. This streamlined approach ensures a more efficient user experience, allowing for seamless access to the relevant data without unnecessary complexities.

A really useful tool is the filter located at the top under the 'More Action' icon that is represented as three dots in a vertical line. Select the 'Show Filter' menu item to reveal the input fields just above the table columns.
